Form responses

The Response Required feature helps streamline the process of tracking patient compliance and follow-up. It ensures that patients complete requested tests within an appropriate timeframe and helps identify when additional follow-up may be needed.

Manually add a response required:

  1. Open the patient chart.
  2. Select the forms tab.
  3. Highlight the form from the list.
  4. Check the ‘response req’d – by’ box.
  5. Enter a date by which the patient should complete the test.

Automatically set up a response required criteria.

  1. Go to Setup > Program setup > charting.
  2. Select ‘Auto check response req’d on all forms - # of days:’
  3. Enter a default number of days (for example, 30 days).
  4. Click Apply, then OK.

When a new form is added to a patient chart, this timeframe will automatically populate as the default. The date can still be edited for individual patients within the Forms tab if needed. After making changes, click Save.
 

Marking a form as a response is received.

Many common requisitions will automatically acknowledge if a result comes in for that form, changing the response received to a 'Y'.

If necessary, you can also mark the response manually:
  1. Confirm that the results are available in the patient chart under lab/Reports tab.
  2. Select the Forms tab.
  3. Highlight the appropriate form.
  4. Click Response Received.

Finding patients with forms with no response.

  1. Go to Reports > Client Lists > Pending Forms List.
  2. Apply filters as needed, such as:
    1. Limit results to a specific provider
    2. View overdue forms only
    3. Select a specific date range
    4. Show pending, completed or both.
  3. Click Retrieve.

You can print the list or send it to Client List Manager to manage and follow up electronically.
