Form management introduction

Healthquest provides a vast collection of forms, accessible to all clinics with form privileges. As new forms are uploaded, clinics can readily access and utilize them. To ensure efficient form maintenance, it is recommended to enable the reminders for checking for form updates, to stay on top of any new forms and versions of forms.


To enable this reminder, go to setup > program setup > admin > check off Display reminder to download form updates’.


Each week, a reminder will pop up after logging in, click yes to load form updates, the form management window will open. Click on ‘load form updates’. All new forms will appear in the list to manage the form usage.

Assign each form the usage:

  • Often – These forms will be visible when clicking ‘new’ in the forms tab of a chart.
  • Rarely – These forms will be visible if checking off ‘show all forms’ after click ‘new’ in the forms tab of a chart.
  • Never – These forms will NOT be visible when creating new forms. (These are usually old versions of forms).


Manually open the form management window through the setup menu > forms > form management.


*Note, if a new form has been released, after updating its usage, consider finding the previous versions and change the usage to ‘Never’ so that everyone is using the latest version of the form. For the same reason, it is important to make sure any form templates are also using the latest version of the form.

  • Scroll through the list of forms manually or search for a specific form using the search box at the top.
  • Highlight a form and click the preview button to show the visual on the right side.
  • Filter the list to forms loaded since a specific date.
  • Edit the name of the form:
    • Click on the form name to make it editable.
    • Type any name changes.
    • Adding a space to the beginning of the name will bring it to the top of the list while on a chart.
  • Add/edit tags, these help to categorize the forms offering an additional search feature while on a chart.

 

As an option, add/edit tags, click the edit tags button.

Scroll through or use the search box to find additional tags.


Highlight the tag that needs to be added, click the right arrow, the new tag will appear on the right. Tags added in a clinic will only be visible for those within that clinic, they are not Healthquest wide.


To remove a tag, highlight the name on the right and click the left arrow.


*Note the red tags have been set system wide, these cannot be removed.
