Group bookings

Group bookings

Booking multiple patients for the same time on a schedule can be done using group bookings, for example, a workshop with multiple attendees, or an exercise class.

To create a group booking, use the group at the top of the schedule, drag it to the time slot desired, just like a normal booking.

  1. Select the appointment type you want to apply to each patient (for tracking purposes, not required).
  2. Enter a name for the group, such as exercise class, workshop name etc.
  3. Add patients using the lookup window in the middle, then click add.
    1. If the group booking window is closed, drag the patient from the shuttle bay, hold tank, or wait list onto the group booking on the schedule, the booking will open, with the patient added to the list.
  4. Remove an incorrect patient by highlighting their name from the list and clicking the remove button.
    1. Or right click on their name and select remove client from the options available.

Rebooking group bookings

To rebook a group, click rebook group, this will load the group into the shuttle bay to drag and drop for the next session.

If there are multiple sessions to rebook, Ctrl + left click rebook group.

  1. Click on each date to rebook the group.
  2. Select the options that you are looking for based on appointment types and if any notes should be copied with it.
  3. Click done. The whole group will be booked at the same time for each date selected.

If booking an 8-week session, consider only booking one group appointment, entering all patients into this booking. When the booking has closed for the session, use the rebooking function, saving the time to book each patient 8 times. Block off those future dates in the schedule for now so other appointments are not scheduled.

  1. Check off the ‘bill?’ check box to include each patient.
  2. Fill in all the claim information in the bottom half.
  3. Click ‘Bill all marked’.
  4. A warning will pop up, click yes if confident.
