Managing price lists

The price list is the standard set of items a clinic will charge for, such as forms or products sold within the practice. When creating an invoice, one of these items MUST be selected, so managing this list is important.

Click admin from the menu bar and select the price list.


Creating a new price list item

  1. Click insert, a blank entry row will appear at the bottom of the list.
  2. Enter a unique item id and description for clarity.
  3. Enter the price of the new fee.
  4. Enter a cost that is incurred due to the item.
  5. Select the applicable type:
    1. Good – A physical product given to the patient.
    2. Service – Completing a service such as a form, or a non-insured visit.
    3. Adjustment – Edits to invoices and payments, such as GST or a discount.
    4. Payment – These items are only available in the payment entry window.
  6. Check off if the item needs tax applied to it. (Click here to learn how to set up taxes in your database).
  7. Add any remaining details to the entry as required.
  8. Click save.

 

Deleting a price list item

  1. Click admin from the menu bar and select the price list.
  2. Highlight the item to delete.
  3. Click delete.
*Note, if the item has been used on an invoice or payment, it CANNOT be deleted. Refer to end dating price list items.
 

End dating a price list item

  1. Click admin from the menu bar and select the price list.
  2. Find the item you no longer wish to use (but cannot delete).
  3. Enter today’s date in the end date column.


Creating a new price list groups

  1. Create the group names under setup > add item types.
  2. Select ‘price list group’.
  3. Click add item.
    1. Enter an item id.
    2. Enter the group name in the abstract column.
    3. Enter the prime id, this acts as an order number.
    4. Click save.
  4. Repeat the above steps until all groups have been created.

  1. Open the price list (under the admin menu).
  2. Look for the item to add to a group, scroll to the right.
  3. Select the price list group from the drop down.

Price list groups can be helpful when using the inventory items sold report, the items will be grouped based on the group selection on the price list.
