Reminder responses with schedule updates

Click here for details on appointment reminder setup. You can send appointment reminders manually, or automated if rules are setup.


Staff notification

 If a patient electronically cancels their appointment, a review notice will appear in Healthquest for the staff to see, and the patient will receive the message that their appointment has been cancelled.


Click the reminders button along the top of the appointment schedule, there will be a number in brackets identifying how many appointment confirmations were cancelled and require reviewing.


Click review to acknowledge the cancellation, action on it as required, for example call the patient to rebook.

Click the link for the appointment date and time to open the appointment detail window to see the status has been changed to cancelled – the color for cancelled is orange.

Review any reminders that did not get sent successfully.
In the same window as above, there would be another tab called reminder errors.


Click the dismiss button to remove them from this error list.
Click the chart no. hyperlink to open the client card, correct the phone number or email, and save the client card.
Return to the above window, click resend.

Patient perspective receiving reminders

Patients receiving appointment reminders will have the opportunity to confirm or cancel their appointments. 


Here is an example of a text message reminder:

Patients can confirm or cancel their appointments by replying to the message above. See below for confirmation reply.


Once a patient has confirmed their appointment, the schedule will reflect that immediately, changing the color to the confirmed color as well as a check mark on the right of the appointment.


Patients can also cancel their appointments by replying to the text reminder or clicking cancel to the email reminder.
