PCPCM Time Tracking

If there are providers in your clinic who will be using the PCPCM fee model, your Healthquest must be updated to version 4.4.68 or higher to have the required items available. Please contact support if you have an older version of Healthquest. Non-patient specific ULI

Alberta Health has created a non-specific ULI to be used when billing for time with the PCPCM billing model. The client card can be found under 'Patient, Non-Specific'. To assist with the change in workflow associated with tracking time, we suggest booking this client card on the schedule at the beginning of the day as a reminder to track your time.

Charting Template

Healthquest has a charting template available that can be used to track the physician’s time. It can be added into your Healthquest by contacting support. If you use it to record time, your number of calls will be automatically calculated. You will still need to manually remove the calls spent on breaks or out-of-basket services as these are not considered as billable time. This template can be used as a guide and is optional.The template is setup to function differently depending on the visit date. 

  1. If you use the template to bill for a weekday, the weekday billing fields will show.
  2. If you use the template to bill for a weekend, the weekend/statutory holiday billing fields will show.
  3. If you are working on a statutory holiday, click the ‘statutory holiday’ check box and the weekend/statutory holiday billing fields will show.


The template includes 3 templates with defaults. By selecting the appropriate one required, the billing codes will pre-fill in the template. 

Using the template

To record your time throughout the day, open the charting template in the Patient, Non-specific chart. Click the appropriate default for the day of the week.


When you are ready to add in your different types of time:

1. Click the add button at the bottom of the template, a row will appear.
2. Use the time type dropdown to select the type of time you are logging; ensure you select the appropriate options as there are similar options for weekday and weekend/statutory holidays.
3. Enter your time either using the start time/end time fields or by entering your time in minutes. The number of calls will generate, 1 call per 15 minutes or 1 call for 8-15 minutes. The calls will generate to the right of the ‘add’ button.

4. Once you have completed logging time for the day, subtract the calls in the breaks/out-of-basket time from your other calls for the day.

Example: You completed direct care from 08:00-16:00, 32 calls will populate. If you took a break from 12:00-12:30 and completed a 30-minute drivers’ medical, 4 calls will appear in red as break/out-of-basket time. The break/out-of-basket calls will then be subtracted from your direct care, so 28 calls will be entered in your PC001 billing field.

5. Once you have transferred your calls, click the bill button and complete the bill.
