Healthquest has optimized the workflow for initiating and updating referrals, by adding in a Save w/ Ref button. Beneficial to both the incoming and outgoing referral process, the Save w/ Ref button improves the process by allowing the user to attach incoming documents or items from the patient's chart directly to a new or existing Referral Management item.
You may also see this button labeled as 'New Referral' (Chart Overview - Letters), both buttons function in the same way.
1. When you have an item open that you would like to attach to a new or existing referral, click the Save w/ Ref button.
2. You will be prompted to choose if you would like to attach the item to i) a new referral or ii) an existing referral. We will review both options below.
Option i: Creating a New Referral
If you've selected to create a new referral, the patient's Referral Management window will open.
1. Decide if you are going to create a new referral from scratch (Blank Referral (no template)) (A), use a Referral Management Template (B) or copy a previous referral (C).
A) Creating a Referral From Scratch
If you are going to create a new referral from scratch, under the templates tab, select Blank Referral (no template) (1), and click ok (2).
Select from either incoming or outgoing referrals (3). You will not currently see your document attached (4) in the Referral Management window.
Enter the referral details (5), ensure you set an assignee (6) and click save (7).
You will now see your attachment in the window (8). Add any other required attachments (9), complete your referral process as usual, and save (10).
B) Creating a Referral Using a Template
If you would like to create your new referral by using a template, under the templates tab, select the appropriate incoming or outgoing template (1), click ok (2).
The Referral Management window will open for the patient. The information from your template will generate automatically (3). You will not currently see your document attached (4) in the Referral Management window. Click save (5).
You will now see your attachment in the window (6). Add any other required attachments (7) and record any additional referral information (8). Complete your referral process as usual, and save (9).
C) Create a New Referral by Copying a Previous Referral
If you are going to copy from a previous template, using the History tab, select the referral you wish to copy(1). Decide if you would like to copy an attachments belonging to that referral, check the box if you would like to copy the attachments (2). Click okay to create your referral copy (3).
Any information entered in the historical referral will generate into your new copy (4). The attachment do not currently appear in the window (5).
Apply any updates to the information as needed, pay extra attention to the status (6), assignee (7), and the date referred(8). Click save (9).
You will now see your attachment in the window (10). Add any other required attachments (11) and record any additional referral information (12). Complete your referral process as usual, and save (13).

ii) Using Save w/ Ref to Attach to an Existing Referral
If you've selected an existing referral your document will now be attached. Make any necessary updates to the referral and save.
The Save w/ Ref button can be found in a few different areas of the EMR.

Default Template for Save w/ Ref
In Program Setup we can apply default Referral Management Templates to Forms, Letters and Scans. Once this setting is enabled, you will no longer be prompted to choose a Referral Management Template when creating a new referral using the Save w/ Ref (or New Referral) button, even in other areas of the EMR.
To activate the setting, go into Setup (1) -> Program Setup (2) ->
System (3) -> Referral Management (4)
The setting is called 'Use default template when creating referrals from scans, letters, or forms' (5). One of the clinic's Healthquest System Administrators will need to activate the setting, as it is a database setting, applying to all users in the clinic. Once activated, you will no longer be prompted to select a template when you click 'New Referral' using the Save w/ Ref button. Use the dropdowns to apply the clinic's desired default templates for Forms, Letters, and Scans (6). Click apply (7) and ok (8).
Clinic users will need to close and reopen Healthquest to apply the changes.
